Information you share

You may choose to provide your email address, name, company, project details, preferences and source materials when contacting VirtuForm. The Studio Assistant processes the messages you send and their conversation context. Basic connection and request information is also processed to operate and protect the service.

How we use it

We use this information to answer enquiries, understand projects, prepare requested work and follow up with you. Depending on the request, processing supports steps towards a contract or our legitimate interests in responding to enquiries and keeping the service secure. We do not use conversations to automatically change VirtuForm’s facts or create permanent visitor profiles.

The Studio Assistant and delivery

When the live assistant is used, conversation messages and project context are sent to OpenAI to generate replies. Providing an email in an ordinary enquiry sends the address and conversation to the studio through FormSubmit. A selected staging order is sent only after you confirm its summary. Source images are sent separately by email. Our hosting, email and security service providers also process the information needed to deliver their services.

Storage and service providers

The conversation is kept in this browser tab’s session storage, with a 24-hour expiry checked when a page loads. You can clear it with Clear conversation; this does not delete information already sent to the studio or its providers. We retain received enquiries and project correspondence for as long as needed to handle the request, ongoing work and applicable obligations. Providers apply their own retention and security policies. OpenAI and FormSubmit may process information outside the European Economic Area; their policies describe the applicable arrangements.

Virtu messages, replies, detected email addresses and project context are also saved in a private Neon/Postgres archive so the studio can handle enquiries and follow up. This server archive survives closing the browser and website updates. Clearing the conversation in the browser does not delete the server archive. Access is restricted to authorised studio administration. We keep records for as long as needed for enquiries, work and applicable obligations; you can request deletion at info@virtuform.net. Neon also processes this stored information as our database provider.

Cookies and preferences

The current website does not install advertising or tracking cookies or an external analytics collector. Browser storage remembers your language preference and active conversation. Lightweight interaction events contain no contact details or conversation text and are not sent to an analytics service by this package. Links to external services, such as WhatsApp, take you to services with their own privacy practices.

Your choices and rights

Where applicable under the GDPR and other privacy laws, you may request access, correction, deletion, restriction or portability of your personal data, or object to processing. You may withdraw consent where processing relies on it and complain to your data protection authority. To ask a question or exercise a right, contact VirtuForm at info@virtuform.net.
